Invoice terms

Invoice terms are the payment conditions printed on an invoice: the due date or net period, accepted payment methods, any early payment discount and late fee, and the buyer's PO number. They tell the buyer what to pay, by when and how.

Clear invoice terms reduce disputes and late payment. An invoice should show the invoice number and date, the buyer's PO number, the due date (not only the words Net 30), the amount, the currency, the tax as a separate line, and the tax IDs of both parties where the law asks for them.

Add the payment details: bank details or a payment link, the accepted methods and who pays bank fees. If you offer an early payment discount such as 2/10 net 30, spell out the discounted amount and the last date to take it. If you charge a late fee, state it as a fixed fee or a monthly percentage. Some countries set statutory late-payment interest for B2B invoices or cap fees, so check the rules where you sell.

Agree the terms before the invoice arrives. Put them in your trade agreement or on an account terms page, so the invoice is never the first time a buyer sees a late fee. Keep standard wording in a template and use plain language.

Add a dispute window, for example seven days from delivery to report shortages or damage, and say how credit notes work. A short, fixed block of text at the foot of each invoice is enough.

Example

Invoice 1042, dated March 1, PO 88-231: $2,400, due March 31 (Net 30). Pay by March 11 and take 2%, paying $2,352. Late balances carry a 1.5% monthly fee. Report shortages within 7 days of delivery.

On Shopify

In Shopify's native B2B, a draft order with a B2B customer and company location uses that company's prices, payment terms and checkout options, and you can send the customer an invoice. The payment terms are no payment terms, net 7, 15, 30, 45, 60 or 90, due on fulfillment, and a fixed date for draft orders only. Payments are not captured automatically when the terms expire.
